HighLevel Virtual LLC is a CRM, automation, AI, digital marketing, and virtual support agency. We help businesses build and manage the systems behind lead generation, follow-up, client onboarding, delivery, reporting, and day-to-day operations.
Company & Trust
Yes. HighLevel Virtual operates as a US-registered LLC with a distributed remote team. Our service model is designed for companies that need reliable implementation and ongoing support without building every specialist role in-house.
We primarily serve clients in the United States, United Kingdom, Australia, Canada, and other international markets. Projects are planned around the client’s working hours, deadlines, and required communication windows.
We work with agencies, healthcare practices, real estate businesses, home-service companies, coaches, consultants, e-commerce brands, professional services, and other growth-focused teams. The final scope is always adapted to the client’s systems, industry, and compliance requirements.
Yes. We can support agencies behind the scenes with CRM builds, automations, websites, funnels, creative production, prospecting, and fulfillment. White-label responsibilities, communication rules, branding, and client-facing access are agreed before work begins.
Services & Expertise
Our services include GoHighLevel CRM setup and management, workflows, funnels, websites, forms, surveys, calendars, pipelines, AI voice agents, chatbots, paid advertising, SEO, social media management, prospecting, content writing, graphic design, video editing, and custom development.
Yes. Monthly hours can be used across the services included in your agreed scope. For example, the same engagement can cover CRM automation, a landing page, email follow-up, creative assets, and reporting.
Yes. We handle one-time builds, audits, migrations, launches, and fixes, as well as ongoing monthly support. A one-time project is quoted around defined deliverables, while recurring work is normally managed through a monthly plan.
Yes. We can work with APIs, webhooks, custom JavaScript, server-side logic, third-party connectors, and automation platforms such as Zapier or Make when the project requires functionality beyond standard no-code tools.
We do not support illegal activity, adult content, alcohol-focused projects, or work that violates platform policies or applicable law. We may also decline work where access, compliance, or technical risk cannot be managed responsibly.
GoHighLevel CRM
Yes. We can structure the sub-account, custom fields, pipelines, calendars, forms, surveys, workflows, email and SMS logic, opportunity stages, notifications, dashboards, and user permissions based on your sales and delivery process.
Yes. We can review account structure, workflow logic, duplicate automations, trigger conflicts, broken links, deliverability risks, pipeline design, permissions, tracking, and conversion gaps, then provide or implement a prioritized fix plan.
Yes. Migration can include contacts, tags, custom fields, pipelines, forms, calendars, templates, automations, and selected historical data. The exact migration scope depends on what the source platform allows us to export or access through its API.
Yes. For agencies and multi-location businesses, we can build reusable snapshots, standardized workflows, onboarding templates, pipeline structures, forms, and deployment checklists so new accounts can be launched more consistently.
Yes. You can invite our team with the minimum permissions required for the task. We can work in an existing agency account, a client sub-account, or a controlled staging environment depending on the project.
AI & Integrations
Yes. We can build agents for inbound qualification, missed-call recovery, appointment booking, follow-up, reactivation, and approved outbound use cases. Call flows, qualification rules, escalation, and booking logic are designed around your business.
Yes. Chatbots can collect information, answer approved questions, qualify a lead, create or update a contact, book an appointment, and route the conversation to a human when the request is sensitive, complex, or outside the bot’s instructions.
Common integrations include Stripe, Google Calendar, Gmail, Zoom, Slack, ClickUp, Calendly, Facebook Lead Ads, Google Ads, Twilio, OpenPhone, Zapier, Make, accounting tools, e-signature platforms, and industry-specific systems with accessible APIs or webhooks.
Usage fees charged by GoHighLevel, phone providers, email services, AI platforms, advertising platforms, or other third-party tools are normally separate from our service fee unless the proposal explicitly states otherwise.
We use a controlled knowledge base, clear instructions, qualification rules, fallback responses, human handoff, test scenarios, call or chat reviews, and ongoing prompt adjustments. AI should support an approved process, not make unrestricted business, legal, or medical decisions.
Websites & Marketing
Yes. We create responsive websites, landing pages, funnels, booking pages, lead magnets, forms, thank-you pages, and conversion-focused sections. Builds can be completed in GoHighLevel or another agreed platform.
Yes. We can retain the existing logo, brand colors, messaging, and page structure while improving visual hierarchy, responsiveness, conversion flow, accessibility, and consistency. A larger redesign can also introduce a new design system.
Yes. We can support website copy, email and SMS copy, social content, ad creative, presentation graphics, thumbnails, short-form video, long-form editing, and brand-aligned visual assets within the agreed scope.
Yes. These services can be delivered individually or alongside your CRM and website systems. Strategy, campaign access, tracking, budgets, approvals, and reporting responsibilities are confirmed before launch.
Once the agreed invoices are paid, the client owns the approved final deliverables created specifically for the project, subject to any third-party licenses, stock assets, templates, fonts, software terms, or platform restrictions.
Pricing & Billing
The public plans are Startup at $439 per month for 40 hours, Growth at $799 per month for 80 hours, and Professional at $1,439 per month for 160 hours. Custom scopes can be quoted separately when the work does not fit a standard plan.
The public monthly plans do not include a separate setup fee and are presented as flexible monthly engagements. Any special licensing, third-party cost, paid media budget, custom development infrastructure, or unusual onboarding requirement is quoted separately.
Monthly hours are intended to be used within the active billing cycle unless a written exception is agreed in advance. Your project manager can help prioritize work so the available time is used against the highest-value tasks.
Eligible new monthly engagements include a 14-day money-back guarantee under the published policy. The exact eligibility, exclusions, completed work, third-party costs, and refund process should be reviewed in the applicable service terms before purchase.
Payment instructions are provided through the approved invoice or checkout process. Recurring plans are billed monthly, while one-time projects may use an upfront payment or milestone schedule defined in the proposal.
Onboarding & Delivery
You receive the onboarding steps, access checklist, communication details, and project intake questions. We then confirm priorities, assign the appropriate resources, create the work plan, and begin with the highest-priority approved tasks.
Onboarding can normally begin within 24 hours after payment, scope confirmation, and the required access have been received. Complex projects may need a discovery or architecture phase before production work starts.
Requirements depend on the project and may include platform invitations, domain or DNS access, brand assets, existing copy, offers, calendars, CRM fields, phone or email configuration, API credentials, campaign data, and approval contacts.
Work is organized through agreed project-management and communication tools, commonly ClickUp and Slack. Tasks can include scope, owner, status, due date, attachments, comments, tracked time, dependencies, and approval notes.
Revisions that remain within the agreed deliverable are scheduled through the normal task process. New functionality, additional pages, new campaigns, major direction changes, or work outside the approved scope may require extra hours or a revised quote.
Communication & Support
Depending on the engagement, communication may take place through Slack, ClickUp, email, Zoom, WhatsApp, or another approved channel. The project should have one primary channel so decisions and approvals are not lost across multiple systems.
Core service hours are generally aligned with US business hours, commonly 9:00 AM to 5:00 PM Eastern Time, unless a different schedule is agreed. International projects are planned around practical overlap windows.
The resource model depends on the plan and scope. You may have a primary point of contact supported by CRM specialists, developers, designers, marketers, or other team members as required.
Active engagements can include daily progress updates, task-level communication, and weekly reporting depending on the plan and project. Urgent blockers, missing access, or approval requests are raised as soon as they affect delivery.
Mark the task or message as urgent and explain the business impact, deadline, and required outcome. We will confirm availability and priority; urgent work may replace planned tasks or require additional approved hours.
Security & Ownership
Invitation-based access is preferred whenever a platform supports it. For credentials that must be shared, use an approved password manager or secure method and provide only the permissions required for the assigned work.
Yes, access should be limited to what the project requires. Administrative access is requested only when configuration, billing, domains, integrations, or user management cannot be completed with a lower permission level.
An NDA can be reviewed and signed when required. Confidentiality, data handling, intellectual property, and client-specific compliance obligations should be documented before sensitive access or information is shared.
Backup options depend on the platform. Where practical, we use exports, copies, snapshots, versioned files, duplicated workflows, staging, or documented rollback steps before high-risk changes. Platform-level backup limitations still apply.
Client information is used only for the approved work and is processed through the platforms involved in the project. The client remains responsible for selecting compliant tools, obtaining required consent, and informing us of industry-specific data restrictions.
